As a US Fleet Universal fleet customer, you will have access to the largest fueling network in the country.
You can fuel at over 200,000 stations, including all major brands giving drivers the ability to shop street prices, saving your company money.
That means you can fuel in all 50 states with your US Fleet Universal Fleet Card and US Fleet will reconcile the transactions with the vendor and make sure that the transaction is neatly consolidated on your invoice.
And if you select the maintenance option on your fleet cards, you will have access to over 20,000 maintenance locations for secured preventive maintenance, parts, tires and repair purchases, keeping your drivers on the road!
Pay at the Pump
Our card is accepted at the pump, giving your drivers convenience and saving your company time and money.
Don’t have your employees spending your time inside the station waiting in line for a cashier. With the US Fleet Universal cards your drivers can pull up, fuel and get back on the road.
Our card works inside the stations, island card readers and at the pump dispensers.
"One Card" Per Vehicle
The US Fleet Universal Fleet Card uses a “one card” system. Your drivers no longer need to carry multiple cards and location books to manage their fueling needs. Our fleet card’s national acceptance, maintenance capabilities and tracking eliminates the need to have more than one fleet card program.
Whether your company keeps the fleet cards in the vehicle, with the vehicle keys, or assigns them out each day, the “one card” system gives you the ability to track and report on a specific vehicle’s fuel and maintenance monthly expenses.
Cards can be easily added and in most cases arrive within 3-4 business days.
Card Restrictions
You can restrict your cards to “fuel only”. Once you restrict your cards to fuel only, purchases other than fuel grades and oil, will not be allowed and declined if attempted.
Specific fuel grades cannot be locked due to the nationwide level of acceptance. However, we have unusual activity reports that we can set up for you which will allow you to monitor your fleet’s transactions.
Driver IDs – introducing the “Universal ID”
US Fleet Universal fleet card purchases are secure with Driver ID requirements. At the pump or inside electronic transactions will not authorize without a VALID driver ID.
Each driver for your company is assigned a unique ID for your security and reporting. (We recommend using the last four (4) of the driver’s social security number for their Driver ID. This number should be easy for the employee to remember and deter them from giving their number to other drivers.)
Because you need to know who is your fueling your vehicles, we have introduced the “Universal ID”. Each Driver ID that is assigned is “universal” within your company. That means your drivers can use their unique ID for any of your company’s fleet cards.
This allows for your drivers to switch vehicles without switching fleet cards!
This system allows you to track and report not only on the specific vehicle expenses, but the drivers as well. You will know which vehicle your drivers are using and how much they are fueling.
Example:
ACME Landscaping Company has a fleet of 10 vehicles. Each vehicle has a US Fleet Universal fleet card that is kept in the glove compartment.
On Monday, John drives truck one (1) and fuels the truck with card one (1) using his unique Driver ID #9999.
On Tuesday, truck one (1) has a flat tire. While truck one (1) is out of service for repairs, John drives truck two (2). He fuels the truck with card two (2) using his unique Driver ID #9999.
With the Universal Driver ID feature, your employees can fuel with any of your company’s cards. Our invoice will track specific driver information for each transaction, eliminating the need to cross reference which drivers are driving specific vehicles internally.
Driver Ids can be easily added within hours and terminated immediately.
Odometer Readings (optional)
Our fleet card system will prompt your drivers for the odometer reading of the vehicle each time they fuel.
When the drivers input the correct odometer readings, the system will track that information and calculate the miles driven, miles per gallon and cost per mile on your invoices.
It is optional if you require your drivers to input the actual odometer reading, but the system will require at least a one (1) digit number.
Some companies may use this prompt to input and track PO numbers, stock numbers or job numbers.
Maintenance Acceptance
Not only can you fuel at over 200,000 locations, with the US Fleet Universal Fleet Card you have purchasing power at over 20,000 maintenance and parts facilities.
Use your maintenance card to give your drivers access to maintain their vehicles on the road.
You can purchase:
- Preventive Maintenance, such as Oil Changes
- Tires and tire rotations
- Glass replacement and Parts!
With our card, your maintenance and fuel transactions are consolidated on one invoice with advanced summaries.
Maintenance transactions also require a Valid Driver ID. This will ensure that your maintenance purchases are secure. You can also track and report on your maintenance purchases online.
Cards are set up as “Fuel Only” unless otherwise specified.

With our Universal Fleet Card system, your invoice has all fuel and maintenance transactions consolidated for you so you can see all of your expenses for each vehicle.
Your invoice will have key driver and vehicle statistics such as Milers Per Gallon, Cost Per Mile, etc. We identify driver and vehicle transactions such as where fuel is purchased and what fuel grade is purchased.
We also have advanced summaries of your transactions by driver, card, fuel product, department, and even track tax information for state and federal government compliance and year-end tax information.

Additional Reports:
Unusual Activity reports allow you to set parameters for security reporting to monitor purchases on an account level or card level. Unusual activity parameters include:
Fuel grade – report on fuel grades that you set as invalid (i.e. driver should purchase diesel only)
Time of Day – report on purchases made before or after your company’s normal business hours.
Day of Week – report on purchases made on the weekends or any day that you set as unusual.
Transaction Limit – report on gallon limits per transaction
Dollar Limit – report on a dollar amount per transaction
